Administrative Service Assistant (HYBRID)
Our client, a leading Pacific Northwest utility provider committed to public service and environmental stewardship, is seeking an Administrative Services Assistant to support programs, projects, and general office operations at their Vancouver, Washington location. This position performs a wide range of professional and confidential administrative tasks, including data entry, record tracking, and daily office functions. Key responsibilities include coordinating travel and reimbursements, maintaining accurate timekeeping records, and supporting fleet vehicle logistics. This role is part of a construction and maintenance team that values collaboration, efficiency, and fostering a positive and productive work environment while contributing to critical infrastructure and field service initiatives.
This position is a one-year renewable contract that includes employee benefits!
Pay Rate: $29.00 - $32.50/hr. DOE.
Location: Vancouver, WA. (Hybrid, 3 days per two week pay period)

Key Responsibilities for Administrative Services Assistant:
- Greet and screen visitors; address questions, take messages, set appointments, or refer visitors.
- Create, draft, edit, and proof documents, correspondence, and presentations using MS Office Suite and Adobe Acrobat.
- Establish, maintain, and administer SharePoint organization, team and other meeting/project sites including setting up document repositories, calendars, workspaces, and tracking lists. Assist with content and permissions.
- Attend meetings, record minutes, transcribe and disseminate as needed.
- Maintain a tracking system of action items to verify timely compliance with scheduled responses or actions. Alert manager of any concerns or response delays.
- Establish and maintain internal and external communication channels to coordinate smooth flow of information and positive working relationships.
- Proactively organize, plan, prioritize, coordinate, and verify managers’ daily Outlook calendars and schedules including commitments of time.
- Register, schedule and arrange meetings, conferences, and training, including associated logistics and any necessary equipment and materials (securing rooms, phone bridges, projection equipment, etc.).
- Verify completion of all required training for employees and managers by communicating what training is due, how to obtain training, submitting external training requests, and tracking training completion status.
- Complete appropriate new employee on-boarding activities and retirement documentation.
- Arrange travel (domestic and foreign), such as airline arrangements, hotel accommodation, and rental car and shuttle reservations.
- May coordinate or assist with organizational events such as presentations, retirements, projects, or employee recognition celebrations.
Requirements for Administrative Services Assistant:
- High school diploma or equivalent is required.
- An associate degree in Secretarial Science, Administrative Management, or a related field is preferred.
- 4 years of demonstrated administrative/clerical experience is required.
- 4 or more years of relevant work experience in administrative support functions with Microsoft Office Suite programs such as Word, PowerPoint, Excel, and Outlook.
